1. Overview

Pearl Labs LLC (“we”, “us”) operates FenceEstimatePro. This Privacy Policy explains how we collect, use, and protect your information. We are committed to handling your data with integrity — we do not sell personal data, and we do not share personal data for cross-context behavioral advertising, period.

• To analyze aggregate usage patterns (never individual-level selling)

4. Our Role; Data You Process About Your Customers

When you enter information about your own customers (such as homeowner names, addresses, project details, and signed contracts), you are the controller / business with respect to that information and Pearl Labs LLC acts as your processor / service provider. We process that information only to provide the Service to you and in accordance with your instructions and this Policy — we do not use it for our own purposes and we do not sell it. You are responsible for having a lawful basis and any required notices or consents for the customer information you put into the Service. Business customers requiring a signed data processing agreement can review our Data Processing Addendum.

5. Data Storage and Security

Your data is stored on Supabase infrastructure (PostgreSQL) hosted on AWS in the US East region. We use row-level security, encrypted connections (TLS), and hashed passwords. Access to production data is restricted to essential personnel only. No method of transmission or storage is 100% secure, but we work to protect your data using reasonable administrative, technical, and physical safeguards.

6. Where Your Data Is Processed

FenceEstimatePro is intended for users in the United States, and your data is stored and processed in the United States. If you access the Service from outside the United States, you consent to the transfer and processing of your information in the United States, where data-protection laws may differ from those in your location.

7. Data Sharing

We do not sell your personal data. We share data only with the following service providers (subprocessors), who process it on our behalf to operate the Service:

• Supabase — database and authentication infrastructure
• Vercel — hosting and content delivery
• Stripe — payment processing
• Resend — transactional, trial, and marketing email delivery
• Sentry — error monitoring and diagnostics
• PostHog — product analytics and usage measurement
• OpenAI and Anthropic — AI-assisted photo, survey, and estimate extraction when those features are used
• Google Maps Platform — address autocomplete and place lookup features
• Cloudflare — bot detection and abuse prevention (Turnstile) on sign-up and sign-in (US/global)
• Law enforcement — only when legally required

We may also disclose data in connection with a merger, acquisition, or sale of assets, subject to this Policy. A current subprocessor list is maintained here and in our Data Processing Addendum.

8. Data Breach Notification

We maintain procedures to detect and respond to security incidents. In the event of a data breach affecting your personal information, we will investigate, take reasonable steps to mitigate the incident, and notify affected users and the applicable authorities as required by applicable law and without undue delay.

9. Your Rights

You have the right to: access the data we hold about you; request correction of inaccurate data; request deletion of your account and associated data; export your business data at any time; opt out of non-transactional communications.

10. Your State Privacy Rights (California & Other States)

Depending on your state of residence (for example, California, Virginia, Colorado, Connecticut, and Texas, among others), you may have additional rights, including the right to know or access the personal information we collect, the right to request correction or deletion, the right to data portability, and the right to opt out of the “sale” or “sharing” of personal information.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We do not knowingly process sensitive personal information for purposes that require an opt-out. We will not discriminate against you for exercising any of these rights.

To exercise any state privacy right, email privacy@fenceestimatepro.com. We will verify your request as required by law. You may also designate an authorized agent to act on your behalf.

11. Cookies

We use session cookies required for authentication and may use limited analytics and diagnostic cookies or similar technologies to understand product usage, debug errors, and improve reliability. We do not use third-party advertising cookies or sell personal data.

12. Data Retention

We retain your active product data for as long as your account is active. If you request account deletion, we keep the workspace recoverable for 30 days so you can request an export or restoration. After that window, active application records, user authentication accounts, and account-owned private storage objects are purged from the live service. Billing, tax, fraud-prevention, security, legal, and encrypted provider backup records may remain for their required retention periods.

13. Contract Signature Data

When you send or sign a contract through FenceEstimatePro, we process the information needed to create and preserve the signed record:

• Signer details such as printed name, email address, and drawn signature image.
• Signing metadata such as timestamp, IP address, user agent, consent acknowledgements, and acceptance hash.
• Contract artifacts such as the contract PDF, legal terms snapshot, payment terms snapshot, and signed contract record or storage link.
• Notification data used to email signing links and signed contract copies.

14. Children's Privacy

FenceEstimatePro is a business tool intended for adults. We do not knowingly collect data from anyone under 18. If you believe a minor has created an account, contact us immediately.

15. Changes to This Policy

We may update this Privacy Policy. Material changes will be communicated via email or in-app notification at least 7 days before taking effect.
